WSS Corporate Actions Department consists of 100+ staff and is responsible for the accurate and timely processing of in excess of 80 different corporate event types in over 90 markets, globally.

The department interfaces directly with the global client base, the sub custodian network, agents and other internal WSS departments.The department is responsible for the capture, analysis and notification to clients of event information and deadlines, reconciliation and execution of client instructions to the market and reconciliation and posting of clients' cash and stock entitlements.  Departmental Description: Instruction Management The Instruction Management teams ensure the accurate and timely processing of clients corporate action elections to a variety of external parties - depositories/lending brokers and sub custodians. 

The group deals with particularly high risk transactions such as Securities Lending instructions which due to stringent deadlines it is imperative that the transactions are completed in a timely and effective manner to negate both reputational and financial risks.The area works to daily cut-off times with regard to the receipt of instructions from clients and the delivery of instructions to the sub custodian network / depositories and lending brokers. This ensures timely market execution of transactions through the various global time zones.   Role

Responsibilities: Agent Instruction Manager 

  • Operational management and control of the daily workflow within the Client or Agent Instruction team. Ensure Agent Instructions are sent within agreed deadlines.
  •  Maximise team capacity through effective resource planning and ensure team structure is robust through effective training and succession planning.
  • Own all issues related to the Department and ensure timely escalation to both Operational and Risk leads.
  • Promote culture of early and timely escalation, ensure root cause analysis undertaken for all operational incidents and follow through with all recommendations. Actively manage risk items and continually evidence compliance with key controls.
  • Identify and deliver tangible operational improvements, increase automation within the processes, work with client and agent network to improve quality of messaging and reduce message conflict rates
  • People Management - provide direction and leadership to the team. Ensure all staff members receive documented 121's and provide a succession plan for the department. Provide effective communications to the dept, ensuring staff are aware of strategic and regulatory changes in the organisation.
  • Work with operational and product partners to define the strategic road map for the instruction management teams. Implement the project structure and governance required to deliver on the agreed strategy
  • Manage relationship with network management. Provide scorecard analysis for Client and/or Agent reviews and represent the department in the monthly forum. Attend service reviews and provide feedback on performance and current issues.
  •  Represent Global Asset Servicing with internal and external clients, promoting the strategy, products and capabilities of the department. Participate in Investment Initiative prioritisation meetings. Support operational partners in Asset Servicing with strategic initiatives across the department.
  • Ensure all team members adhere to global escalation policies, maintain up to date awareness of RED policies and procedures, attest to operational procedures at required intervals and actively comply with ethics and behaviour standards.
  • Contribute to the strategic development of the asset servicing product. Identify key areas of opportunity, creating robust business cases and ensuring appropriate levels of analysis are undertaken

  Schedule:        Full time

Shift:                Core Hours - day time, although flexibility required for occasional evening and weekend work.
